RETTEW is currently seeking a Sr. Administrative Assistant/Project Technician to support our Municipal Team based in Lancaster or Lancaster, PA office. 

As a Sr. Administrative Assistant/Project Technician (PT), you are responsible for assisting a Project and/or Program Manager (PM) with the non-technical aspects of project management. The PT provides basic administrative and project management support. The PT may perform work for a Team or client. PTs are highly organized and able to adapt to the varying needs of their assigned service area, market, or client. The PT responsibilities are primarily internally focused.

Essential Responsibilities include:

• Non-Technical PM Support

o Solid understanding of the company’s project accounting system and project setup.

o Provide support with project set up, including scope, schedule, and budget.

o Assist with tracking scope, schedule, and budget, including project revenue and correcting variances. 

o Prepare and/or assist in the preparation and maintenance of various reports and documents, including status updates, tracking reports and tools.

o Prepare, organize, and maintain project files and data. Use information to complete Notice-to-Proceed emails, PM Checklist, proposals, and change orders.

o Acquire basic service area, market, and/or client-specific knowledge needed to complete assignments, including project deliverables.

o Assist project team in meeting critical deadlines.

o Assist in developing project schedules, coordinates and communicates with project team and client, as needed.

o Direct project inquires to the appropriate personnel.

o Coordinate project-related activities, meetings, and events in support of project managers

o Establish positive working relationships with agencies and associations, as needed.

o May assist with invoicing and coordination of billing process with client.

o Maintain project org charts.

o Coordinate with Financial Services as necessary.

• Administrative Support

o Perform QA/QC on project deliverables and internal documents ensuring that company and client standards, process, and procedures are followed. Assist with developing and implementing Service Area Quality Management Plan (QMP). 

o Coordinate project deliverables.

o Prepare and/or assist in the preparation and design of reports, presentations, and other communications.

o Maintain reference materials, files, and expense logs.

o Develop and maintain forms/reports/templates.

o Organize, prioritize, and follow up on work assignments

o Assist with preparing and maintaining regulatory documents 

o Performs the initial setup and ongoing maintenance of relevant databases, software programs, and group library, e.g. CRM.

o Provide calendar support, scheduling and managing logistics of meetings.

o Prepare and distribute minutes or meeting notes, follow up on next steps or action items to ensure completion. 

o Coordinate duties with other employees across the organization.

o Perform research, update and maintain statistical information.

o Train and/or mentor other staff, as needed

o Supply/equipment coordination.

• Business Development/Sales Support

o Assist in preparing proposal document.

o Assist in preparing PM checklist.

o Coordinate with MarCom as necessary. 

o Assist with business development and marketing activities, as needed.

o Client Interaction/Engagement

o On occasion, may be assigned as a client’s backup contact for PM and/or project team in their absence.

o Minimal interaction with client for assigned non-technical tasks.

o Develop basic knowledge of assigned client’s requirements.
